Who it is for

Built for businesses that order on their customers' behalf.

Order Desk fits teams of about 5 to 100 people that buy from many vendors for specific customer jobs, receive into a warehouse or ship direct, and then deliver or hand over the goods.

01

Distributors and wholesalers

02

Building materials and specialty building products

03

Showrooms and design-build firms

04

Furniture, fixtures and equipment suppliers

05

Specialty contractors ordering materials per job

06

Equipment and parts dealers

07

Manufacturers' representatives and importers

08

Businesses coordinating vendors, warehouses and customer deliveries

The working system

Every next step, exception and hand-off in one place.

Order Desk follows the work from purchase order to delivery while giving each person the view and actions their role needs.

01

One live order list

Every purchase order, from entry to delivery, in one list the whole team shares. Search anything; changes reach every screen within seconds.

02

My Day

Each person opens to follow-ups due, arrivals, deliveries, work handed to them and problems to chase.

03

The Flow board

See every order by where it stands, from waiting on the vendor to delivered, and what is overdue.

04

Vendor confirmations checked

Compare a vendor confirmation with the purchase order line by line and surface differences in quantity, price and unit.

05

Chase vendors in one email

Send one email per vendor covering every open order that needs an answer, instead of one message per order.

06

Problems and claims

Track damage, short shipments, returns and refunds through resolution, including what is owed in each direction.

07

Payments and balance due

See deposits, paid-in-full status and terms per invoice, with a warning before an unpaid order goes out the door.

08

Estimates and approvals

Check estimates against QuickBooks, record customer selections and keep signed approval tied to the right version.

09

Reports and vendor scorecards

Review follow-ups, overdue arrivals, storage charges, problems, claims and on-time delivery.

10

Roles and an audit trail

Admin, office, warehouse and view-only roles keep each job focused. Every change records who and when.

11

Built-in read-only assistant

Ask how-to questions and look up orders, estimates and invoices from any screen. The assistant reads; it never changes a record.

QuickBooks Desktop integration

QuickBooks stays the system for the money. Order Desk becomes the system for the work.

Order Desk reads QuickBooks Desktop live while QuickBooks is open and from a scheduled export when it is not. It never writes to QuickBooks, so your accounts are never changed behind your back.

READ-ONLY CONNECTION
01

New purchase orders arrive by themselves

POs entered in QuickBooks appear in Order Desk with the vendor, customer and job already filled in.

02

Changes are caught

When a PO changes in QuickBooks, Order Desk shows exactly what changed and updates the order with one click while preserving team-entered detail.

03

Estimates are checked against the quote

Lines, quantities, prices, freight and tax are compared before anything is sent or ordered.

04

Payment status sits beside every order

Each order shows whether its invoice is paid, part-paid or on terms.

05

Approvals stay tied to the right version

If a QuickBooks estimate changes after a customer signs, Order Desk says so.

What having both does for you

The figures and the work finally agree.

No double entry

Purchase orders typed once in QuickBooks carry through to the order list.

Fewer costly mistakes

Wrong quantities, prices and missing lines are caught before goods are ordered or delivered.

Everyone sees what they need

Office, warehouse and sales see order and payment status without everyone needing QuickBooks access.

Paid before it ships

Balance due is visible when an order is scheduled to go out.

One source of truth for each job

The numbers live in QuickBooks; the progress lives in Order Desk; both appear side by side.

How it is delivered

Your data stays with you.

Order Desk is installed in your office and served to your team through the browser they already use. There is no per-computer installation for staff.

Runs on your own computer

Install it on one Windows PC or server. Everyone else opens it in a browser on the office network, including tablets and phones.

Your data stays in your office

Orders, customers and files remain on your own machine rather than someone else's cloud.

Personal sign-in and roles

Each person has a name, password and role that determines what they can see and change.

Daily backups

Automatic backups are kept for a week, with optional copies to a second device and a guided restore.

One-click updates

Digitally signed updates back up first and roll back automatically if anything goes wrong.

Your history comes with you

Existing open and completed orders can be brought across with our help.

Tested before release

Automated and independent AI-driven testing covers everyday use, concurrent users, permissions and recovery.

Questions people ask

Practical answers before you start.

Do we need QuickBooks?

No. Order Desk works on its own; with QuickBooks Desktop it does more.

Does it change anything in QuickBooks?

No. It only reads.

Do we need a server?

No. Any Windows PC that stays on during office hours will do; a server works too.

Can more than one person work on the same order?

Yes. If two people change the same order, neither loses their work: the second person is shown what changed and keeps their edits.

Where does the AI assistant send information?

What you ask, and the records it looks up to answer, go to an AI service to produce the answer. It only reads, and it can be left switched off.
